1. Purpose of the System
Nexify Exam System is a digital examination and learning-support platform used by schools to create exams, assign questions, manage student access, monitor exam activity, calculate results, support review/study mode, and generate academic reports.
The platform is provided to support lawful educational administration. Final academic decisions, student discipline, grading policies, exam schedules, and result publication remain under the responsibility of the school or authorized academic body.
2. Authorized Access
- Only authorized students, teachers, school administrators, and approved support users may access the system.
- Users must use the correct school code and their own account credentials.
- Sharing passwords, impersonating another user, attempting unauthorized access, or bypassing exam controls is prohibited.
- The school may suspend or restrict access where misuse, security risk, academic misconduct, or policy violation is suspected.
3. Student Exam Integrity Rules
- Students must answer exams independently unless the school specifically permits collaboration or assistance.
- Students must not copy questions, share answers, record exam content, use unauthorized devices, or use external resources during restricted exams.
- Where enabled by the school, the system may record exam events such as login time, start time, submit time, tab changes, reconnect events, token verification, fullscreen status, and answer activity.
- Suspicious activity may be reviewed by authorized school staff and may affect exam validity according to school rules.
4. Teacher and Administrator Responsibilities
- Teachers and administrators must create fair, age-appropriate, and curriculum-aligned exams.
- Manual grading, rubrics, comments, and result corrections must be performed professionally and consistently.
- Authorized staff must protect student information and must not disclose results, passwords, reports, or exam materials to unauthorized persons.
- Uploaded resources, descriptions, study notes, images, PDFs, and videos must respect copyright, school policy, and applicable law.
5. Personal Data and Privacy
The system may process personal and academic data required for school operations, including names, student IDs or admission numbers, class/section, login activity, exam answers, scores, attendance-related records, study notes, question review activity, and communication metadata.
- Data is used for educational administration, examination delivery, assessment, reporting, support, security, and audit purposes.
- Access to data should be limited to authorized school staff, system administrators, and support personnel who need it for legitimate school or technical purposes.
- Schools should keep student data accurate, confidential, and retained only as long as needed for academic, legal, operational, or audit requirements.
- Users should report incorrect data, unauthorized access, or privacy concerns to the school administrator or system support contact.
6. Ethiopian Legal Context
This policy is designed for Ethiopian school-system use and should be read together with applicable Ethiopian law and school regulations, including principles relating to electronic transactions, personal data protection, computer crime prevention, contracts, education governance, and civil responsibility.

7. Security and Account Protection
- Users must keep passwords and reset codes confidential.
- Users must log out after using shared or school-owned devices.
- The system may apply security measures such as session checks, device/session restrictions, audit logs, and access controls.
- Attempts to damage, overload, reverse engineer, scan, exploit, or interfere with the system are prohibited.
8. Study Mode, Notes, and Resources
- Study Mode, question descriptions, resources, and personal notes are intended to support learning after authorized review is available.
- Students are responsible for keeping notes respectful and related to academic use.
- Teachers or schools may remove inappropriate notes, resources, or content where necessary.
- Resources such as PDFs, videos, and links may be owned by the school, teacher, third party, or publisher; users must respect copyright and usage restrictions.
9. Availability and Limitation
The system is provided for school operations and may require internet, server availability, supported browsers, and correct account configuration. Temporary interruption may occur due to maintenance, network issues, hosting issues, school configuration, or device limitations.
Where an exam interruption occurs, students should immediately inform the responsible teacher or school administrator. The school will determine any retake, reset, extension, or result correction according to its policy.
10. Changes to These Terms
The school or system provider may update these Terms & Conditions when features, laws, security practices, or school policies change. Continued use of the system after updates means the user accepts the updated terms.
11. Contact and Support
For account, password, result, privacy, or exam-related concerns, users should contact their school administrator first. Technical support may be provided by Nexify Technology through the school’s authorized support channel.
